Privacy Policy

The Graduate School of History and Folklore Studies is engaged in a variety of educational and research activities in order to implement its social and public missions and responsibilities as an educational and research institute. As such, the Graduate School recognizes the importance associated with handling personal information that is the basis of its educational and research activities. The entire instructors and staff of the Graduate School are committed to the appropriate and stringent protection of personal information.

Personal Information Handled by the Graduate School

The personal information handled by the Graduate School of History and Folklore Studies represents information on its students and their warrantors/guardians, applicants for admission and their guardians, people who graduated the Graduate School, participants in various lectures it provides, its staff and users of its facilities, etc. that is obtained to the extent necessary for achieving its work objectives and that should enable identification of specific persons from the names, birth dates and other descriptions contained in the relevant information.

Fair Acquisition of Personal Information

The Graduate School of History and Folklore Studies shall obtain personal information in a law-abiding and fair manner within the extent necessary for achieving its work objectives, taking sufficient measures to secure safe handling and management of the information.

Management of Personal Information

The Graduate School of History and Folklore Studies shall manage personal information in an appropriate manner and adopt precautionary measures against such incidents as loss, breakage, alteration or leakage of personal information as well as unauthorized access to it. If there should arise any problem or incident, the Graduate School shall immediately take corrective measures.

Utilization and Provision of Personal Information

The Graduate School of History and Folklore Studies shall not utilize personal information beyond the scope of the use purposes indicated in advance, except for the following cases.
1.When consent is given by the person(s) to be identified
2.When it is notified in advance that personal information is to be provided to third parties
3.When it is judged to be legally required to disclose personal information
4.When the Graduate School discloses information to the other parties (companies, etc.), within the necessary scope, to which it consigns work based on agreements with them that clearly describe confidentiality obligations.

Requests for Disclosure and Corrections of Personal Information

When requests are made to the Graduate School of History and Folklore Studies by persons for disclosure of their personal information to them, the sections in charge that own the relevant information shall accept such requests in writing after confirming the identification of the persons. The Graduate School shall answer the requests if it judges that the reasons of requesting the disclosure of personal information are appropriate. In addition, the Graduate School shall immediately correct or take other measures if the disclosure of personal information reveals that it contained any incorrect or wrong content.

Compliance to Laws and Regulations

The Graduate School of History and Folklore Studies shall comply with laws and related regulations concerning handling of personal information, giving full considerations to the protection of privacy. The Graduate School shall take an adamant attitude against any violation of the protection of personal information.

Continuous Improvement

The Graduate School of History and Folklore Studies shall prepare rules regarding the handling of personal information, and shall continuously work to review and improve the rules by periodically auditing how they are implemented.
